Artists Information and Submission
2009 Art Exhibit Entry Procedures
Please submit information about your art on the Art Exhibit Entry Form. You can download the form in PDF format here. Submit a separate form for each item, attach a copy to your art, and keep a copy for your records. Information for gallery cards and exhibit listings will be taken from these forms.

Provide completed Entry Forms as early as possible-- but no later than Sunday, August 30-- to a committee member at a QAC liturgy or mail to Mary Lou and Bill Meers, 624 Monteray Ave., Dayton, OH 45419-2747. (You may also submit by fax. Please call (937) 294-7585 to arrange faxing.) Having information about your art early will permit us to produce a better exhibit listing and facilitate exhibit set up. Thank you.

Please provide a small "head and shoulders" photograph of yourself-- 3 x 4 inches is ideal-- for posting on the artists information board and for publicity and the exhiibit website.

Each artist will pay a minimal exhibitor fee -- $5 in 2008-- for the limited costs of printing, exhibit materials, and refreshments. Please pay to a committee member by Sunday, August 30.

Exhibit Numbers
You may exhibit a maximum of 20 pieces with no more than one-half being "Not For Sale". If space is limited, we may not be able to exhibit all of your pieces.

Price each piece or label NFS (Not For Sale). Gallery St. John will receive 30% of the sale price of items which are sold. Please have realistic prices. Both the artists and Gallery St. John want our exhibit to be successful financially, as well as a spiritually!

Drop-Off of Exhibit Pieces on August 30
Exhibit items should be delivered to the Si Lounge on Sunday, August 30 either before or after the regular QAC liturgy.

If you are unable to deliver your art on August 30 please arrange to have someone bring your pieces or contact the Exhibit Committee to make other arrangements. The Gallery will be set up on Monday, August 31. No pieces can be accepted the day of hanging the exhibit.

Preparing Your Art for Exhibit
Have all pieces ready to hang/exhibit with the appropriate wire or hooks suitable for hanging on nails or being placed on stands or the Gallery floor as required. Paintings, drawings, photographs, etc. must be properly framed or mounted.

Exhibit Standards and Expectations
Submission of work to this exhibit shall be understood to indicate an agreement on the part of the artist, which includes the artist's permission to have photographs of their work, and/or themselves used for publicity and promotion of the show without compensation.

Cards and prints from your current and previous work may be displayed on a small table near your art. Items must be marked with the sales price and an inventory list provided to the exhibit coordinators. The standard 30% fee must be paid to Gallery St. John for sales of these materials. You are welcome to bring your business cards to be set out in the gallery during the show. The display of these related materials must not interfere with or detract from the exhibit of art items.

All reasonable care will be taken in handling work submitted; however, neither QAC, the Gallery St. John, nor the Exhibit Committee will be held responsible for loss or damage to works of art, frames, etc. All works are entered at the artist's risk, and the artist must provide her/his own insurance, if desirec.

The pieces exhibited must be your own work. Any work you submit by another member of the QAC community must be entered under the name of that person. The exhibit is limited to QAC-affiliated people. Work that has been previously exhibited in a QAC exhibit should not be included. The exhibit is intended to show newly-created items, or items that have not been previously exhibited in a QAC exhibit. Exhibit coordinators will consider the exhibit of exceptional art that has not been shown for five or more years on request.

Experienced people will hang (arrange) the art exhibit. When you enter your pieces in the exhibit, you are agreeing to not move them after they have been placed. If you have any special instructions or requirements, please communicate them to the Exhibit Committee and write them on the back of the piece.
Working in the Gallery
All artists are expected to work one of the four-hour shifts during the exhibit or to assist in the set up on Monday, August 31 or take down of the exhibit after 4:00 p.m. on September 13. Since the exhibit will only be open for ten days-- Wednesdays through Sundays -- all participants should be able to to cover one of the shifts. Preference for weekend shifts will be given to those who have work requiremets during the week. Please indicate which day(s) your prefer to work and any day(s) you are not available. You may work a shift at the gallery for another person or they may work for you.

Picking Up Exhibit Pieces on September 13
No pieces will be released from the exhibit until after the show closes at 4:00 p.m. Sunday, September 13, unless previous arrangements have been made with Exhibit Committee members Chris Boehmer-Stewart or Judy Potter.
